Phenomenology of Practice Project (PoPP)
The Phenomenology of Practice Project (PoPP) is an independent educational initiative operated by Patrick Howard in Nova Scotia, Canada.
PoPP respects the privacy of those who visit its website, enquire about its offerings, or participate in its courses, conversations, and mentorship arrangements. This policy explains what personal information may be collected, how it is used, and the measures taken to protect it.
PoPP collects only the personal information reasonably necessary to respond to enquiries and provide its educational and scholarly services.
Depending on the nature of the engagement, this may include:
Names, email addresses, and contact information.
Country of residence and time zone for scheduling purposes.
Course registration and payment confirmation details.
Information voluntarily shared about research interests, academic work, or professional circumstances.
Written materials submitted for feedback, discussion, or mentorship.
Information associated with participation in online courses and meetings.
Visitors may browse the public website without registering for PoPP services. The website and its service providers may nevertheless collect certain technical information, as described below.
Personal information is used to:
Respond to enquiries and communicate with prospective participants.
Administer registrations, payments, and educational services.
Provide access to course materials and online learning environments.
Arrange meetings and offer feedback on scholarly writing.
Maintain necessary administrative and financial records.
Fulfil applicable legal and regulatory obligations.
PoPP does not sell or rent participants' personal information to third parties.
Personal information collected for one purpose will not ordinarily be used for an unrelated purpose without appropriate consent or another lawful basis.
Payments for PoPP offerings are processed through Stripe, a third-party payment service.
Stripe collects and processes the payment information necessary to complete transactions. PoPP receives information such as the participant's name, email address, payment amount, transaction status, and registration details.
PoPP does not directly collect or store participants' complete credit card numbers.
Stripe processes information in accordance with its own privacy practices.
PoPP uses MoodleCloud to provide access to online course materials, learning activities, discussions, and written submissions.
Participant information and course activity may be stored within MoodleCloud for the duration of the course.
Access to course materials and participant contributions is restricted according to the permissions and settings of the learning environment.
Participants are asked to respect the privacy of others and not distribute fellow participants' contributions or identifying information without permission.
PoPP may use online meeting services to conduct course sessions, individual conversations, and mentorship meetings.
Where a meeting is to be recorded, participants will be informed in advance. The purpose of recording and any arrangements for access will be explained.
Course recordings are intended to support participants who cannot attend a scheduled session or who wish to revisit a discussion.
Recordings will not be publicly distributed without appropriate permission.
PoPP recognizes that participants may share unpublished research, developing ideas, dissertation materials, and personal reflections in the course of scholarly conversation.
These materials are treated with care and are used only for the educational or consultative purposes for which they are provided, except where disclosure is authorized or legally required.
PoPP does not publish or otherwise distribute participants' scholarly writing without their permission.
Participants retain responsibility for ensuring that any research materials they share may appropriately be disclosed, particularly where those materials contain information about research participants or other identifiable individuals.
The Phenomenology of Practice Project (PoPP) retains participants' personal information and course-related materials only for as long as reasonably necessary to provide its educational offerings and meet applicable administrative or legal obligations.
Within 30 days following the conclusion of a course, PoPP will undertake a manual review and removal of participant-specific course materials held in MoodleCloud. This includes submitted writing, discussion contributions, uploaded files, and other participant-generated materials, where these can be identified and deleted through the platform's administrative tools. Participant enrolments and accounts will also be reviewed and removed when no longer required.
Course recordings, where applicable, will likewise be deleted from the storage locations under PoPP's control within 30 days following the conclusion of the course.
The course structure, instructional materials, readings, and learning activities may be retained for future offerings, without retaining participants' personal contributions.
Some information may remain temporarily in backups or systems maintained by third-party service providers, including MoodleCloud, according to their own retention and backup procedures. PoPP cannot directly control the deletion schedules of these provider-managed systems.
Certain administrative and financial records may be retained for longer periods where required by applicable law.
PoPP relies on external services for website hosting, payment processing, online learning, and communication.
These may include Yola, Stripe, MoodleCloud, and online meeting or email providers.
These services may process or store information outside Canada, where different privacy laws and legal access requirements may apply.
PoPP seeks to use reputable service providers and limits the information shared with them to what is reasonably necessary to provide the relevant service.
